Policy

The SPACE may amend the Policies by way of motions set forth and voted on at any meeting of the Board of Directors where quorum is satisfied and the majority present approves the amemdment.

CCDA Fees

In conjunction with the Annual Operating Budget, the Board of Directors will establish all fees.


Tuition Fees

  • Payment of all fees shall be made at the time of registration with payments options available.
  • Split payment options have no additional cost. Payments may be made by cash, direct debit, or credit card.

Costuming Fees

  • Payment of standard costuming fees is due in full at time of registration.
  • All 1 hour Combo class Costume Fees are deemed as a rental fee.
  • All 1.5 hour and single discipline class Costume Fees are deemed as a deposit toward the final purchase.
  • Additional fees may accrue once final costuming is determined. Payment of additional fees shall be due 30 days after billing notice.

Fundraising Fees

  • Each SPACE Member family agrees to fundraise, or in lieu of fundraising, providing a donation to the SPACE according to the Fee Schedule.
  • If a student is involved in both CCDA and STC programs, SPACE Member families are responsible for only one set of fundraising expectations.

Volunteer Bond

  • At the time of registration, the member will designate their preferred Volunteer Commitment.
  • Each SPACE Member family is required to sign up fpr two Volunteer Commitment posting 2-$100 Volunteer Bond cheque (1st dated November 15th/2nd dated February 15th) at the time of registration.
  • Once the Volunteer Commitment has been fulfilled, the member bond cheque will be voided.
  • As each Volunteer Commitment is not fulfilled the correlating Volunteer Bond cheque will be deposited without notice in the appropriate SPACE account.
  • Responsibility lies with the member to remain in contact with the SPACE staff regarding their Volunteer Commitment.
  • At the time of registration, SPACE Member families have the option to decline the opportunity to Volunteer by providing a donation in the amount of $150 in lieu of volunteering.

Additional Costs

  • As costume fees do not include items of a personal nature such as tights, leotard or footwear, additional costs for such items may be accrued.
  • Payment of additional fees for participation in festivals or competitions shall be due 30 days after billing notice.

Drop in Fees

  • Students shall be allowed to drop in for classes on a case by case basis.
  • The drop in fee will be $15.
  • Approval for attendance is at the discretion of the Executive Director in consultation with the teacher.

Studio Rental Fees for Students (Practice)

  • Rental of any of the studios to students of the SPACE will be charged a flat rate of $5 per person per hour, or portion thereof.
Eligibility Requirements

       Lyrical

  • Intro to Lyrical will be offered to students to explore this option with no prerequisite classes necessary.
  • In order for a student to participate in a non-introductory Lyrical class, the student must also be registered in one ballet class and one jazz class.
Scheduling

Class structure, composition and scheduling will be at the discretion of the Executive Director, taking into account the best interest of the student including education, maturity, skill level, and facility space availability.

CCDA Withdrawal Policy
  • Student withdrawal previous and up to October 15 or prior business day will receive a refund less all classes scheduled prior to this date. Notice must be given in writing to the Executive Director and Board of Directors for review. After October 15, no refunds will be administered and all fees must be honored as agreed at time of registration.
  • The date of withdrawal and subsequent refund, if applicable, will be based on the date the Executive Director and Board of Directors receives written notification.
  • Student withdrawal within the allotted time must hand in all fundraising materials and dollars raised. Refund of fundraising fees, if any, will be calculated based on type of fundraising completed and funds received buy member as at the date of withdrawal. No refund shall be provided for donations made in lieu of fundraising.
  • Student withdrawal within the allotted time will receive a refund of Costuming Fees.
  • Past October 15th, extraordinary circumstances may be brought to the attention of the Board in writing for further review.
Penalties


NSF Cheques
All NSF cheques will be subject to a $25 charge and any additiional bank fees.

Notice of Default of Payment
Within 24 hours of notice of default of payment the Treasurer/Board shall notify the parent/guardian by phone and follow up in writing that a payment has been defaulted.

Over Due Account
All overdue accounts will be subject to interest charges.
• Interest will be charged 30 days past the last invoice date at the following rates:

  • 30 days = 5%
  • 60 days = 10%
  • 90 days = 15%

 

Once an outstanding balance is over $500 and no arrangements have been made on overdue account to rectify, a meeting will be arranged with the Member, a representative of the Board of Directors, and the CFO. IF a reciprocal agreements is unable to be attainedm the boards has the option to withhold services. If an account remains in default for nore than 90 days, the SPACE may seek services of a collection agency or other methods deemed appropriate.

All outstanding balances must be rectified prior to registering for a subsequent program.

  • All deposits for events or programs offered by a third-party organization are non-refundable.


CCDA Enhancement Programs

Performing Program Teams

  • Tuition Fees
    Payment of all tuition fees including an $90/per costume deposit fee and a $300 competition fee deposit must be received by the last Monday before the scheduled Summer Dance Intensive workshops.
  • Costuming Fees
    Costuming fees including accessory items or footwear must be paid by the last Monday before the Summer Dance Intensive workshops.

  • Additional Costs
    • As costume fees do not include items of a personal nature such as tights or leotard, additional costs for such items may be accrued.
    • Payment of additional fees for participation in festivals or competitions shall be due 30 days after billing notice.
    • Travel expenses will be at the responsibility of the SPACE Member family.
    • Additional small or large group opportunities may arise and fees will be according to the Performing Program Rates Schedule and discussed with parents/guardians.

Performing Program Teams Eligibility Requirements

  • For Team 1, the Performing Program Team, the candidate must be enrolled in a minimum of two disciplines in the CCDA Core Program where one discipline is ballet.
  • For Team 2, Hip Hop Crew, the candidate requires enrollment in a minimum of two CCDA Core Program classes where one of those classes is a Hip Hop class.

Performing Program Teams Withdrawal Policy

    No registrations will be accepted after the first day of the Dance Intensive Workshops.

    Any additional receipts printed that have previously been issued are subject to a $10 charge per receipt.


CCDA Performing Program Solo, Duo or Trio

  • Tuition Fees
    • The Board of Directors, the Executive Director and the CFO will establish tuition in conjunction with the Annual Operating Budget.
    • To perform a solo, duo or trio students must be a part of the Performing Program Team and the student must be taking class at the SPACE in the performance discipline they will perform the solo/duo/trio (technical classes do not qualify as a performance class).
    • Solo, Duo or Trio Fees shall be paid within 30 days of billing notice. Payment is due upon acceptance. (Appendix XXIII - Performing Program Essay and Fee Outline)

  • Costuming Fees
    Costuming fees including accessory items or footwear shall be paid within 30 days of billing notice.

  • Additional Costs
    • As costume fees do not include items of a personal nature such as tights or leotard, additional costs for such items may be accrued.
    • Payment of additional fees for participation in festivals or competitions shall be due 30 days after billing notice.
    • Travel expenses will be at the responsibility of the SPACE Member family.

Performing Program Solo, Duo, Trio Eligibility Requirements

  • To perform a solo, duo or trio students must be a part of the Performing Program Team and the student must be taking class at the SPACE in the performance discipline they will perform the solo/duo/trio (technical classes do not qualify as a performance class).
  • Students must put forth a written application which includes an essay following the provided guidelines and a Performance Resume and Cover letter to the Executive Director by the last Monday prior to the Dance Intensive Workshops.

CCDA Exams

CCDA Exam Fees

  • Tuition Fees
    • The Board of Directors, the Executive Director and the CFO will establish tuition in conjunction with the Annual Operating Budget based on fees established by the Examination Body and will include an administrative fee.
    • Tuition Fees are due within 30 days of billing notice.
    • Exam fees are non-refundable.

  • Additional Costs
    Additional costs may include preparatory classes, studio/facility rental, accompaniment, Examiner travel, lodging, meals.

  • Studio Rental Fees for Students
    Rental of any of the studios to students of the SPACE will be charged a flat rate of $5 per person per hour, or portion thereof.

CCDA Exams Eligibility Requirements

  • Gilbert Tap Exams require active enrollment and attendance in a minimum of one CCDA Core Program Tap class
  • Cecchetti Ballet Exams Standard and Graded Syllabus Primary to 2 require active enrollment and attendance in a minimum of one Non-Syllabus Ballet Class and Examination Preparatory Class.
  • Cecchetti Ballet Exams Standard and Graded Syllabus 3 and greater require active enrollment and attendance in a minimum of one Non-Syllabus and one Syllabus classes.
  • Candidates require independent practice as teaching time is limited.
  • Not maintaining these requirements could place the student in a position of losing their eligibility to take an exam. The Executive Director will review the points in question with the student providing an opportunity for the student to find a manner in which to continue to follow the eligibility requirements.

CCDA Exams Scheduling

  • Scheduling is based on studio availability.
  • Scheduling preparatory classes will be the responsibility of the student in coordination with the Executive Director based on studio availability.
  • Exam dates, times and locations are scheduled by the various examination bodies

CCDA Exams Withdrawal Policy

  • Withdrawals will only be accepted prior to the commencement of preparation classes.
  • No refunds once classes commence.
CCDA Mentorship Program

The aim of the Mentorship program is to develop Teachers from within our CCDA student population. The development of the participants towards teaching is a process that can take a number of years.The progression of the program is Junior Assistant to Assistant to Teacher. Individuals progressing into the teaching portion of the program will remain in the mentorship program for a period of two to three years dependent upon the individuals development.

Mentorship Eligibility Requirements

  • Students put forth a written essay following an outline provided and submitting the essay to the Executive Director by the due date established.
  • An interview with the candidate will also be part of the eligibility process to be conducted by the Executive Director and the Chair of the Board or designate.
  • For the mentorship program, students must be enrolled in the CCDA Core Program taking ballet and two other disciplines and the mentee, at minimum, must maintain the three disciplines throughout the term of the mentorship.
  • Applicants must be 12 years of age before December 31st of the existing fiscal year applying in. (i.e. applying March of 2011 must be 12 years of age December 2010).
  • When students have enrolled in a minimum of 3 classes in the CCDA Core Program at the SPACE, they will receive a credit toward their family account.
  • Candidates must attend their CCDA Core Program classes on a regular basis using this education as ground work for personal growth and advancement.
  • Not maintaining these requirements could place the student in a position of losing their eligibility in the Mentorship Program. The Executive Director will review the points in question with the student providing an opportunity for the student to find a manner in which to continue to follow the eligibility requirements.

Mentorship Scheduling

Mentorship configurations will be at the discretion of the Executive Director in consultation with Teaching Faculty, with mentee position(s) filled according to projected needs.

Showcase of Programs

CCDA Core Program Recital

  • A showcase of CCDA core program classes will be held each year at the end of the performing season.
  • A Recital Committee will be formed to plan and coordinate all aspects of the recital.
  • All attendees, including volunteers must purchase a ticket for the recital.
  • Designated areas in the balcony will be identified as no sit areas to maintain safe protocols.
  • One complimentary chaperone ticket per family will be provided with registration for the 2013/2014 performing season.

Enhancement Programs

Performing Program Teams and Solos. Duos and Trios Showcase

  • A showcase of Performing Program numbers will be held each year in November

STC Production

Annual production will be produced by the cast in February of each year.

Dress Code Policy
  • A dress code is a tool for personal discipline.
  • Dance apparel and appropriate dance footwear is required for all classes.
  • Students will be reminded once of unacceptable apparel, the following time they could be asked to sit out of class.
  • If non-compliance with the dress code becomes chronic, the Executive Director may speak to any parent/guardian upon the recommendation of the teacher. The Executive Director shall discuss with the parent/guardian the purpose of the Dress Code and will explain the importance of the student's compliance. The outcome of this meeting as well as further consultation between the teacher, Executive Director and Chairperson, may result in a suspension/restriction of the student's opportunity to continue taking classes.
Code of Conduct
  • Students will operate in a respectful manner while at the SPACE or during any function of the SPACE.
  • Student should arrive early enough to be prepared for class.
  • When entering the SPACE students are to remain quiet and respectful. Studios should not be entered if classes are in progress.
  • Any student acting in a disruptive manner could be asked to sit out of class or leave class entirely.
  • In extreme cases, or in cases of repetitive disruptive behavior, the Executive Director may speak to any parent/guardian upon the recommendation of the teacher. The Executive Director shall discuss with the parent/guardian the behavior of the student and will explain the importance of the student's cooperation in class, the overall effect on the class itself and the potential ramifications. The outcome of this meeting as well as further consultation between the teacher, Executive Director and Chairperson, may result in a suspension/restriction of the student's opportunity to continue taking classes.
  • All cell phones and other electronic devices must be turned off and out of site while in the studio.
Attendance Policy

Should any student be absent from 3 or more classes, the Executive Director may speak to any parent/guardian upon the recommendation of the teacher. The ED shall discuss with the parent/guardian the reason(s) for the absences of the student and will explain the importance of the student's regular attendance, the overall effect on the class itself and the potential ramifications. The outcome of this meeting as well as further consultation between the teacher, ED and Chairperson, may result in suspension/restriction of the student's opportunity to continue taking classes.

Student Lounge Policy
  • Use of the student lounge is a privilege for SPACE students/participants.
  • Students are responsible for maintaining the cleanliness of the lounge
  • Students must continue to follow the Code of Conduct while occupying the lounge.
  • Students must be dressed, ready for class 5 minutes prior to class.
  • Students must be picked up within a reasonable amount of time after the completion of their class.
  • The SPACE is not responsible or liable for any student prior to or after class
Class Viewing Policy
  • Viewing of classes is a privilege and rare for dance classes to have an open door policy.
  • Each student is limited to one adult observer per class. Younger siblings may accompany their parent or guardian, but must remain in the lounge and are not to be running in and out of the studio area.
  • Student's friends and CCDA students are not allowed to observe classes unless accompanied by a parent or guardian.
  • The door to the studio shall remain closed during class times.
  • Conversing between observers and/or observer to students during instruction time is not acceptable.
  • All cell phones must be turned off.
  • The ED/Teacher may have the discretion to allow for exception under certain circumstances.
  • Any questions or comments for teachers must be made during change of shoes or class changes.
  • In respect of the teaching process no comments may be made to students while classes are in progress.
  • The ED/Teacher have the right to request that an observer leave the studio if their presence is deemed to interfere in class or student progress.
Storm Day Policy

At the discretion of the Executive Director, classes may be cancelled due to inclement weather; classes cancelled may not be rescheduled.
